Im in process of returning, does anyone have a clue on how to declare the item so that Aero does not have to pay duties when they get it?

And how should Aero declare it when they ship the replacement so I dont have to pay double duties?

You need to create a commercial invoice, and on that invoice you must put the reason for return as 'REPAIR or RETURNED DEFECTIVE GOODS. Easier if you also have Aero's EORI number.

When AERO re-ship it, they need to put - Replacement/Warranty" goods or to that effect.

Note, my business deals with this stuff, and there is always some kinda admin fee to pay to customs regardless. They might also want your original purchase receipt and proof of how you paid them

Wouldn't Aero be a good source of information on this type of thing. I mean they are in the business of international sales. I imagine they have dealt with this situation more than a few times in the past.

But I would have thought they would have already sent you instructions on the return.

It’s much simpler than that.

Go via DHL and fill out their customs declaration. As value you list “zero” and in the comments section you put “return of jacket from consumer to manufacturer”.

Aero knows what to do, but even if declared correctly, DHL will probably charge customs upon re-entry which you then need to claim back as per my earlier comment.

But I do agree: do sort the process out with Aero. Much easier to keep them in the loop and avoid discussing proper process post factum.

They only told me the fees but not the exact process or if I would get charged duties again on the remake.

My business never ever lists zero, because that just triggers DHL (customs) to pull it every single time. Its value isn't zero, it's what you originally paid for it.

This is also a legal requirement. You are asking for trouble listing zero, it will just trigger a flag at DHL (or whoever it is sent with).

Just ask Aero to make you a proper return label and pay them for it, it is way easier that way as they can attach the commercial invoice and deal with all of the import. You, as the consumer, shouldn't really have to deal with that.
